1.Prepare the files
Use PNG, JPG, WebP, PDF, or DOCX. Each order supports up to five files, with a 10 MB limit per file. A renamed extension is not a conversion: a BMP renamed .jpg can still be rejected.
2.Review the customer-facing proof
Attach the files and check the order's Proof & approval section. Images and PDFs can be reviewed on the customer link; DOCX is provided as a protected download.
3.Share the current link
Use the order's email, text, copy, or share action. Customers do not need a merchant account. Treat the link as private because it provides access to that order.
4.Check recorded views
Orders summarizes invoice/order-details views and proof-file activity for the current revision. Open Overview or Proof & approval for first and most recent timestamps in UTC. Download requested is not confirmation that a file was downloaded or read. Signed-in shop previews and recognized automated previews are excluded, but forwarded links, signed-out merchant visits and blocked tracking can affect accuracy. No view recorded does not mean unread; historical visits before tracking was released are not backfilled. Views are never an approval or payment.
5.Check approval and payment
The customer reviews the current proof and terms and submits approval. Approval alone is not a receipt for the deposit; verify the payment record separately.
6.Revise without replacing the history
For changes after approval, use the change-order flow and explain what changed. Earlier acceptance remains in the history, and the changed revision needs customer approval.
